Project Overview

An independent specialty coffee owner-operator — a former barista with several years behind the bar at a well-regarded Manchester roastery and Q-grader certification — took on a 110m² high-street demised unit on the main run through Knutsford, Cheshire, on a 10-year lease. The unit had previously traded as a small clothing retailer and was being repurposed as a specialty coffee shop with full breakfast and lunch service. The brief was simple in intent and demanding in detail: an 18-cover front-of-house centred on a bespoke American oak timber-clad serving counter with a La Marzocco Linea PB 2-group espresso bar, a back-of-house full commercial kitchen for breakfast and lunch service with DW172-compliant grease extraction routed to the rear roof level, an in-situ poured terrazzo floor as the visual anchor, and a refreshed shopfront respecting the existing conservation area context.

We were one of three contractors invited to quote. Our price came in second by approximately £4,500 against the leading offer. We won the work because our quotation was the only one to (a) include the DW172-compliant grease extraction duct design and the structural-route survey through the existing service riser inside the contract sum rather than as a "subject to landlord agreement" provisional, (b) coordinate the La Marzocco Linea PB and Mahlkönig grinder install with the dealer at procurement stage so that the services to the counter were positioned correctly when the joiner pre-routed them off-site, and (c) treat the in-situ poured terrazzo as a defined 5-day workstream (mix, pour, cure, grind, polish, seal) with the specified aggregate mix ordered in week one against a 4-week supplier lead time rather than left as a finishing-trade catch-up activity.

Practical completion was certified on the contracted Friday. Cheshire East Council Environmental Health Officer attended the pre-opening visit Friday afternoon and signed off the food safety management system, the grease extraction certification, the hand-wash basin separation and the integrated pest-control sealing in a single visit with no remedial actions logged. The owner-operator opened to the public for a soft launch the following Saturday morning. The first espresso pulled at 7.30am went to the next-door bookshop owner who had walked across to say good luck. The first paying customer arrived at 7.34am.

The Challenge

A 7-week specialty coffee shop fit-out for an independent owner-operator in a conservation-area high-street demised unit is a different discipline from a corporate Cat-B fit-out or a developer-led new-build. The grease extraction route through the existing service riser is the single hardest design problem; the La Marzocco install lives or dies on three millimetres of service positioning under the counter; the in-situ terrazzo is a 5-day continuous workstream that doesn't compress; and the EHO pre-opening visit is the gating event before the owner can sell a single coffee.

DW172 Grease Extraction Through the Service Riser

The kitchen extract canopy over the cooking line had to vent to roof level to comply with DW172 (the HVCA Standard for Kitchen Extract Ventilation) and to avoid odour or grease nuisance to the residential flat above. The route through the existing rear service riser was tight: 350mm internal diameter required, riser available diameter 410mm, with a fire-rated boxing at the second-floor structural penetration. We surveyed the riser at quotation stage with the landlord's facilities manager on a joint walkdown, agreed the route in writing, and priced the duct, the silencers, the roof-level fan, the fire-rated boxing and the gas-isolation interlock as a fixed sub-contract within the contract sum. Commissioned and certified at week 7.

La Marzocco Install Coordination

A La Marzocco Linea PB 2-group on a 32A single-phase circuit with 15mm mains water and 22mm waste needs the services positioned to the millimetre under the counter for the dealer's installer to land the machine cleanly. We engaged the La Marzocco UK dealer (Coffee Service Group) at procurement stage in week one: confirmed the machine model, the grinder pairing (Mahlkönig E80 Supreme and EK Omnia), the BWT bestmax M water filtration housing position, the drip-tray waste route, and the under-counter clearances. Services pre-routed to floor positions before the bespoke counter joinery arrived from the workshop, counter installed week 6, dealer installed and commissioned the espresso bar week 7.

Bespoke American Oak Timber-Clad Counter

The serving counter is the visual centrepiece of the shop and a piece of joinery that earns its place on the photographs. Vertically-oriented 25mm American oak slats on a marine-ply substrate, finished in a natural matt-oil; 40mm honed quartz worktop in a warm-grey selected to suit the terrazzo aggregate palette; a hand-formed copper drip tray let into the worktop in front of the espresso machine. Off-site fabricated by a specialist heritage joiner over weeks 3-5 on the same fixed-price-sub-contract methodology we used for the heritage joinery on the Birmingham Colmore Row HQ Fit-Out earlier in the year. Delivered week 6, installed Tuesday-Wednesday with the joiner on site for the install.

In-Situ Poured Terrazzo (5-Day Workstream)

In-situ poured terrazzo is the floor specialty-coffee owner-operators are willing to spend on. The specified aggregate mix — warm-tone brass, white, and grey on a pale matrix — carried a 4-week supplier lead time placed at week one. The pour-grind-polish-seal workstream is 5 continuous days that don't compress: mix and pour Monday, initial cure Tuesday, first grind Wednesday, second grind and polish Thursday, polish and seal Friday. Placed on the master programme in week 5, so the floor was ready to take the bespoke counter, the seating and the kitchen equipment in week 6 without any back-tracking.

Cheshire East EHO Pre-Opening Sign-Off

The Environmental Health pre-opening visit is the gating event before the owner-operator can serve a single customer. We engaged Cheshire East Environmental Health pre-bid with our DW172 grease extraction calculations and the food-flow layout drawing, and we wrote the sign-off as a contractual milestone for the Friday afternoon of week 7. EHO attended on the contracted Friday, signed off the food safety management system (HACCP), the grease extraction certification, the hand-wash basin separation from prep sinks, the food-grade flooring cove-skirting under the prep area, the hot-water provision at every basin, and the integrated pest-control sealing in a single visit. Zero remedial actions logged.

Conservation Area Shopfront

Knutsford's central run is within a designated conservation area; the existing timber fascia and pilasters carried local-character significance and could not be replaced. We retained the existing timber framing, repaired and repainted in a heritage-tone dark green agreed in writing with Cheshire East planning at quotation stage, and obtained signage consent for the brand's hand-painted gilded fascia lettering pre-bid so that the signwriter could be booked and delivered without becoming a programme item. Signwriter on site week 6 for the fascia; finished signage in place by Friday of week 6 ahead of the soft launch.

Our Approach

Independent specialty coffee fit-outs succeed or fail on the technical disciplines that don't show up in the photograph: the grease extraction, the espresso bar service positioning, the EHO sign-off, the conservation-area shopfront permissions. Our approach was built around four governance disciplines and one programme discipline.

Grease extraction owned end-to-end as a contractual workstream. The two competing quotes treated the grease extract as "subject to landlord and EHO agreement, provisional sum to apply". We surveyed the existing service riser pre-bid with the landlord's facilities manager, calculated the duct sizing and the roof-level fan capacity, and priced the full DW172-compliant package as a fixed sub-contract within the contract sum. Commissioned and certified at week 7; gas-isolation interlock with canopy fire-suppression tested live with the EHO on the Friday afternoon visit.

La Marzocco dealer engaged at procurement stage. The two competing quotes treated the espresso bar install as a "tenant-supply" item to be addressed at handover. We engaged the La Marzocco UK dealer (Coffee Service Group) in week one to confirm the machine and grinder pairing, the under-counter service positions and the dealer's installer mobilisation date. Services pre-routed to floor positions before the bespoke counter arrived from the workshop. Dealer's installer landed the espresso bar cleanly in week 7 with no service-position remedial.

Terrazzo as a 5-day workstream, not a finishing trade. The two competing quotes treated the terrazzo as a "month-7 finishing item" with the aggregate mix specified at the time. In-situ terrazzo aggregate mixes carry 4-week supplier lead times; left to month seven, that means a slipped programme. We placed the aggregate order in week one against a 4-week lead time, sequenced the pour-grind-polish-seal workstream as 5 continuous days in week 5, and protected the floor through the joinery and kitchen equipment install in weeks 6-7 with full sheet protection.

EHO pre-opening engaged pre-bid. Environmental Health visits are the gating event for any new hospitality opening. The two competing quotes treated the EHO visit as a "client to arrange" item. We engaged Cheshire East Environmental Health pre-bid with our DW172 calculations and the food-flow layout drawing, agreed the inspection criteria and booked the Friday afternoon of week 7 as a contractual milestone. Sign-off received in a single visit with zero remedial actions; soft launch Saturday morning unblocked.

Programme float held as fixed. 5 days of weather-and-trade-clash contingency held as fixed float on the master programme; one shift lost across the 7 weeks (a delivery slot rescheduled by the landlord), absorbed without consuming critical-path float. PC certified on the contracted Friday afternoon. EHO sign-off on the Friday afternoon. Soft launch Saturday morning at 7.30am.

The Build Process

Thirty-five working days from key handover to the first espresso pull. A landlord-and-EHO-led mobilisation, four long-lead specialist orders placed in week one, an in-situ terrazzo workstream sequenced as a continuous 5 days, and a soft-launch Saturday morning held to the time.

Week 1

Mobilisation, Strip-Out & Long-Lead Orders

Possession of the demised unit Monday morning. Strip-out of the previous clothing-retail fit-out: existing partitioning, fitted display joinery, dated carpet, dropped suspended ceiling on the rear half of the unit. Pre-strip asbestos R&D survey by an independent UKAS-accredited surveyor confirmed no asbestos-containing materials in the prior fit-out (post-1999). Joint walkdown of the rear service riser with the landlord's facilities manager confirmed the grease duct route. Long-lead specialist orders placed: terrazzo aggregate mix (4-week lead), bespoke American oak counter joinery (4-week off-site fabrication), kitchen extract canopy and roof-level fan (3-week lead), La Marzocco Linea PB and Mahlkönig grinders (dealer-supply, 5-week lead).

Week 2

Partitions, Kitchen Wall Build & First-Fix M&E

Metal stud partitioning to define the front-of-house, the back-of-house kitchen and the small staff WC. Wall build to the kitchen with a 60-minute fire-rated leaf to the residential flat above. First-fix electrical: dedicated 32A single-phase circuit to the espresso bar position, dedicated 16A circuits to each grinder, dedicated 32A 3-phase circuit to the commercial dishwasher, dedicated lighting circuits zoned for the 5-scene controller, low-level lighting circuits behind the back bar. First-fix plumbing: 15mm mains water with isolation valve to espresso bar position, 22mm waste to under-counter gully, hot and cold to all kitchen positions and hand-wash basins (separate from prep sinks).

Week 3

Grease Extract Duct Install & Joinery Off-Site

Kitchen extract canopy installed over the cooking line, dedicated grease arrestors and replaceable grease filters fitted. Stainless-steel ducting routed to roof level via the existing service riser: 350mm internal diameter, fire-rated boxing at the second-floor structural penetration, inline silencers to control fan noise. Roof-level fan landed on the existing roof plant area. Bespoke American oak counter joinery in off-site fabrication; first-fix services pre-routed to the floor positions agreed with the joiner against the dealer's espresso-bar service-positioning drawing.

Week 4

Plasterboard, Decoration Prep & Floor Substrate Levelling

Plasterboard taped, jointed, sanded and prepared for paint across all walls and the new ceilings. Floor substrate levelled and screeded to the tolerance required for the in-situ terrazzo pour the following week (FF/FL flatness verified). Conservation-area shopfront paint preparation: existing timber fascia and pilasters sanded back, primed in heritage-tone undercoat ready for the dark-green topcoat. EHO pre-opening visit booked in writing with Cheshire East Environmental Health for the Friday afternoon of week 7.

Week 5

Terrazzo 5-Day Pour-Grind-Polish-Seal

The critical week. Monday: in-situ terrazzo mixed on site with the specified aggregate mix (warm-tone brass, white, grey on a pale matrix), poured across the front-of-house and customer-side circulation, hand-trowelled to a level finish. Tuesday: initial cure under polythene protection. Wednesday: first grind by specialist terrazzo contractor exposing the aggregate. Thursday: second grind to a 600-grit honed finish. Friday: polish and seal with food-area-rated penetrating sealer. Floor protected from Friday evening through to week 7 with full sheet protection.

Week 6

Counter Install, Decoration & Conservation Shopfront

Bespoke American oak counter delivered Monday, installed by the joiner on site Tuesday-Wednesday: vertically-oriented 25mm oak slats on the customer-facing leaf, 40mm honed quartz worktop bedded down, hand-formed copper drip tray let into the worktop. Glass display section on the customer side fitted. Decoration: two coats of paint to all walls and ceilings in the heritage-tone palette selected by the owner-operator. Conservation-area shopfront topcoat applied in heritage-tone dark green. Specialist signwriter on site Thursday for hand-painted gilded fascia lettering; finished signage in place Friday of week 6.

Week 7

Kitchen Equipment, La Marzocco Install, EHO & Soft Launch

Kitchen equipment landed Monday: Lincat double oven, induction hob, salamander, Italian grill, bain-marie, twin-basket fryer, twin-deck commercial dishwasher, under-counter prep refrigeration. Gas Safe-registered commercial engineer commissioned the gas worktop equipment Tuesday. La Marzocco UK dealer (Coffee Service Group) on site Wednesday for the Linea PB and Mahlkönig grinder install: services landed cleanly to pre-routed positions, BWT bestmax M water filtration commissioned, espresso machine pulled its first calibration shot Wednesday afternoon. Front-of-house furniture (loose tables, bench seat upholstery, window-bar stools) installed Thursday. Snag round Thursday afternoon: 19 items closed by Friday lunchtime. Cheshire East EHO pre-opening visit Friday afternoon: HACCP signed off, grease extraction certified, hand-wash separation verified, food-grade flooring inspected, hot-water provision verified. Zero remedial actions logged. PC certificate issued Friday afternoon. Soft launch Saturday morning, first espresso pulled at 7.30am.

Conservation-Area Shopfront

Pest Control Sealing

All wall-to-floor junctions in the back-of-house and front-of-house service areas sealed with food-grade flexible sealant; service penetrations through walls sleeved and sealed; gaps below all base cabinets minimised; ventilation grilles fitted with insect mesh. Integrated pest-control sealing inspected and signed off by the EHO at the Friday afternoon visit.
